Job Title: Assistant Director, Events and Administration
Compensation: TBD plus benefits (negotiable based on experience)

Job Brief

The person for the job is a competent Assistant Director to support the Executive Director in the operations of the BIA.

Assistant directors are well-versed in performance and operations management and competent in assuming delegated duties. They are leaders and critical thinkers, ready to solve problems before they become obstacles.

The goal is to help the BIA attain its objectives of representing, advocating and elevating Downtown Bank Street as the destination to live, work, shop etc. to residents and visitors.

Responsibilities

Special Events/Sponsorship/Grants

  • Assist in developing and implementing plans and goals for events and projects

  • Experience in organizing outdoor events

  • Experience with Municipal SEAT team

  • Work with the Executive Director and Communications Director to coordinate and supervise special events and sponsorship designed to raise the profile of the Bank Street BIA in its role to promote the area as a destination both to residents and visitors

  • Excellent people skills to raise sponsorship funds in support of special events and activities

  • Seek out grant opportunities to further enhance the profile of Downtown Bank Street

  • Support grant writer in developing application and confirming accuracy of application

  • Assist in budgeting and monitoring expenses

  • Maintain scheduling of events and represent the company when needed

  • Strong media connections in raising profile of BIA led initiatives

  • Engagement with local businesses in development of special events

  • Take leadership role on event days

Marketing

  • A good understanding of the retail market

  • Understanding analytics in designing comprehensive programming for the Bank Street area

  • Assist with marketing and promotional campaigns

  • Work with Communications Director in providing necessary information for messaging through all communication platforms

  • Strong collaborative team player

Administration

  • Ensure compliance with regulations and internal policies

  • Create reports and submit them to the Executive Director or other executives

  • Fulfill duties as assigned by the Executive Director

  • Working with the Executive Director and office team in meeting the goals and directions of the Bank Street BIA Strategic Plan

  • Assist in the daily administration of the BIA office

  • Understanding and ensuring compliance with regulations and internal policies required by the BIA

  • Attend meetings including Board, sub-committees, community leaders, members, sponsors and other potential stakeholders/collaborators

  • Working with BIA team in the understanding of municipal issues related to the operations of the BIA, special events and granting opportunities

Requirements

  • Hands-on experience in special events and management of large outdoor events

  • Successful experience in attaining sponsorships

  • Proactive in the execution of tasks

  • Excellent staff management skills

  • Proven experience as assistant director or other similar position

  • Knowledge of relevant regulations and quality standards

  • Proficient in MS Office

  • Excellent communication skills

  • Excellent organizational and leadership skills

  • Aptitude in problem-solving

  • Experience in high-pressure situations

  • Ability to work flexible weekday hours and weekends
